Guides for tracking work pass renewals, estimating levies and COMPASS scores, and how the MOM rules monitor keeps official figures up to date.
Create an account, then follow the onboarding steps: add your company name and UEN, confirm the PDPA data processing notice, and choose your plan. You land on the dashboard once your workspace is ready.
Go to Pass Holders and tap Add. Enter the employee’s name, nationality, pass type, pass number, issue and expiry dates. Work Permits also need a sector (it drives the levy), and EP/S Pass holders need a monthly salary. You can also bulk-import an existing list from CSV or scan a pass card to fill fields automatically.
A daily automated check reviews every pass expiry and raises reminders at 90, 60, 30 and 7 days before expiry, plus an alert once a pass has expired. Reminders appear in the Alerts tab, and the badge on the bell shows unread alerts.
Active means the pass is valid and not near expiry. Expiring Soon means it falls inside the reminder window. Expired means the pass has lapsed. Renewal In Progress is a manual flag you set once you have started the renewal with MOM.
After your company’s data retention period (configurable in Settings), expired records are flagged for owner review. The owner can then archive them, which hides them from active lists while keeping the audit history.
The calculator uses monthly levy rates by pass type, sector and tier. Enter how many workers you have in each band and it totals the expected monthly levy, with a printable budget report.
Enter the candidate’s fixed monthly salary and answer the COMPASS criteria questions (salary band, qualifications, firm size, diversity, local support, shortage occupation, strategic priorities). It shows a point breakdown per criterion and whether the estimated score clears the pass mark. Salaries at or above the exemption threshold skip COMPASS entirely.
No. Levy and COMPASS figures are estimates only. Always verify with MOM’s official pages and the Self-Assessment Tool before submitting an application. WorkPass Pilot is not affiliated with MOM.
It watches the official MOM pages for levy rates, COMPASS benchmarks and the Shortage Occupation List. A scheduled check runs weekly (Mondays, 9am Singapore time), and an administrator can also run a manual check at any time with the Check now button.
A check snapshots each page’s text. If the text differs from the last snapshot, the monitor records a finding for administrator review. The finding shows what changed, when it was detected, and links to the MOM source. A failed check is shown as failed, never as a verified-unchanged source.
No. Findings are advisory only. Nothing changes in the app until an administrator verifies the values against the official MOM source and confirms apply. This keeps the live figures accurate even when a page change is unrelated to the rates.
The administrator edits the values for one rule area (levy rates, COMPASS benchmarks or the Shortage Occupation List), records the effective date and the MOM source they verified against, optionally adds notes, then confirms apply. Applying saves a new numbered version, marks the linked finding as applied, and syncs levy rates to the calculator. The COMPASS estimator and Shortage Occupation dropdown use the latest applied version immediately.
Yes. Every applied version is kept in an audit history per rule area, showing version number, effective date, a summary of the values, the verified source and application notes, plus who applied it.
It is restricted to platform administrators. Company owners and HR admins do not need it — they simply benefit from up-to-date levy and COMPASS figures. If MOM has not published a change, the app keeps the currently applied version.
Owner (full control, audit log, retention review, billing), HR Admin (manage pass holders and documents), Viewer (read access) and Limited Viewer (sensitive fields such as pass number and salary are masked). Agency staff are assigned a client-company role by the agency and never get Owner powers.
Every access to a pass holder record is written to an audit log the owner can review. Sensitive fields are masked for restricted viewers, data retention periods are configurable, and the Privacy page explains how data is processed under Singapore’s PDPA.
An agency requests a link to a client company. The client approves it from their Settings. Once active, agency staff can switch into the client workspace from the header switcher and work with the role the agency assigned them. The client can revoke access at any time.
Go to Pass Holders → Import, upload your CSV, map the columns to the app fields, review the preview, then confirm. Rows with problems are listed so you can fix them before the import completes.
On the add/edit form, use Scan pass card and upload a photo or PDF of the pass card. The details are extracted and pre-filled — always check them against the physical card before saving.
